When the board of directors adopts a written resolution (article 354 of the Civil Code of Québec), every director must sign it. Until now that meant printing the document, passing it around, or juggling PDFs by email. With electronic signatures, it all happens inside CondoAide in a few clicks.
How it works
- Generate your resolution from the Templates section (the text can be drafted with AI assistance)
- Select the signers from the board members
- Send — each signer gets an email with a direct link to the document
Each director opens the link, reviews the PDF, and signs by typing their name or drawing their signature. No account to create, no software to install.
Real-time tracking
The document page shows in real time who has signed, who is still pending, and who has declined. You can resend a notification to those who haven't responded yet — no need to chase anyone down.
A director can also sign with dissent when the CCQ requires it, and their note is recorded directly on the document.
Automatic lock-down
As soon as the last signer has signed, the document is locked: a SHA-256 hash is computed on the content, no one can modify it anymore, and a final PDF with embedded signatures is archived in your registry. Everything is timestamped and traceable.
Compliant with Québec law
Simple electronic signatures are recognized by the Act to Establish a Legal Framework for Information Technology (LCCJTI, art. 39). They are valid for written resolutions of the board of directors. CondoAide clearly flags cases where notarial form is required (transfers, mortgages, amendments to the declaration) — electronic signatures are not offered for those.
Your signatures, saved
Each director can save up to five signatures in their personal preferences (typed, drawn, or uploaded). Next time, they just confirm — signed in two seconds.
Electronic signatures are available now in the Templates section of your syndicate, for board resolutions.
