Account deletion

How to delete your CondoAide account, and what is deleted or kept afterwards.

Last updated: October 30, 2026

This page explains how to delete your CondoAide account, whether you use it on the web or in the CondoAide mobile app for iPhone and Android, and what happens to your information afterwards. CondoAide is a service of Solutions Nicvi inc. Deletion is permanent: it cannot be undone.

1. Delete your account yourself

Deletion is done on the condoaide.ca website. It also applies to the mobile app, which uses the same account.

  • Sign in at condoaide.ca the way you usually do.
  • Open your profile: in the syndicate menu, choose “Settings”, then “Profile” (or “Profile and signatures”). If you are not a member of any syndicate, choose “Open your profile” on the home page.
  • At the bottom of the page, in the “Danger Zone” section, choose “Delete your account”.
  • Confirm by email: choose “Send verification code”, enter the code you receive by email, choose “Verify code”, then confirm by choosing “Delete your account” again.
  • An email confirms that your account has been deleted.

2. Request deletion by email

If you can no longer sign in, if deletion is refused, or if you prefer, write to privacy@condoaide.ca from your account’s email address, saying that you are asking for your CondoAide account to be deleted. We may ask you to confirm your identity before acting. We answer no later than 30 days after receiving your request.

3. Before you delete your account

  • If you are the person responsible for a syndicate’s account, first transfer that role to another member of the syndicate, or delete the syndicate’s account. CondoAide refuses the deletion until that is done, and names the syndicate concerned.
  • If you organize the provisional space of an initial syndicate, that space is handed to a board member of a linked phase when possible. If it already holds binding information and nobody can take it over, our support team must settle it with you first; CondoAide tells you so when you delete.
  • If you have acted for a syndicate (approving payments, work orders, documents to sign), the deletion may be refused. Write to us at privacy@condoaide.ca in that case (section 2).
  • To keep a copy of a syndicate’s data, the person responsible for its account can download the complete archive in the syndicate settings, Archives tab (see Service continuity).

4. What is deleted

As soon as you confirm, we delete from our production systems:

  • Your sign-in account: email address, password, Google or Apple sign-in, second factor, device keys and recovery codes.
  • Your profile: name, phone number, photo and preferences.
  • Your syndicate memberships: you no longer have access to their spaces.
  • Your registration on a syndicate’s units (as a co-owner, tenant or occupant), along with your votes, the proxies you gave in CondoAide, and your attendance and messages at assembly sessions.
  • The devices registered for notifications in the mobile app.
  • The files of your personal account.
  • Copies in our backups: encrypted copies may remain for up to 30 days, then they are destroyed as the backups rotate.

5. What is kept, and for how long

Some information is not deleted with your account, because a law requires us to keep it, or because it belongs to a syndicate’s records rather than to your account:

  • The syndicate’s records — Documents filed in a syndicate of co-owners’ records (minutes, proxies filed in the register, supporting documents), requests and exchanges with the board stay there. The syndicate keeps this register available to the co-owners and answers for it (art. 1070 of the Civil Code of Québec); they follow the periods in section 5 of the Privacy Policy. To have information about you corrected, contact the syndicate’s board.
  • Payments and pre-authorized debit mandates — 7 years for payments and mandates of the Payment Service, for tax, accounting and compliance purposes; 12 months after the last debit for a bank-file debit mandate, the minimum Payments Canada Rule H1 requires (s. 21(a)).
  • Proof of your newsletter consent or its withdrawal — Your email address, and the date and IP address of your choice, kept so that we respect it. Write to privacy@condoaide.ca to have it deleted.
  • Audit logs of sensitive actions — 7 years, for compliance purposes.
  • Exchanges with our support team — 3 years after the last interaction.
