Service continuity

What happens to your data if CondoAide ceased operating, and what you can do today.

Last updated: 20 October 2026

Every board asks the same question: “What if CondoAide disappeared?” Here is our answer, in plain words. It has two parts: your data belongs to you and you can take it with you at any time; and our Terms of Service commit us to an orderly end of service, should it ever come.

1. Our commitments should the Service end

These commitments are part of our Terms of Service (section 14) and apply to every plan, the free plan included. Should CondoAide permanently cease operating the Service:

  • At least six months’ notice, by email and in the app, unless a cause beyond our control makes that notice impossible; notice is then given as soon as possible.
  • Twelve months of read-only access after the end of the Service, to consult and download your data.
  • The complete archive delivered to each syndicate, free of charge, before the end of the Service: the same one you can download today.
  • Destruction of the data afterwards, according to the published retention schedule, after notifying you.

2. Your data, today

You do not have to wait: the syndicate’s account owner can download the complete archive at any time, in Syndicate settings, under the Archives tab.

  • Everything is in it: the register and its documents as you uploaded them, the co-owners, the units and their occupants, the finances and payments, the requests and work, the meetings, votes and minutes, the claims and litigation, the syndicate’s email with its attachments, and the other files.
  • Open formats: one table per JSON file, described in a datapackage.json file (the Frictionless Data Package standard), a readable Excel (XLSX) view, emails in the .eml format any email program opens, and the documents in their original format.
  • Verifiable and readable without CondoAide: the archive is a BagIt bag (RFC 8493), an archival standard; every file comes with its SHA-256 fingerprint, and an index opens in your browser, offline.
  • Recorded: every download is written to the syndicate’s register journal, with the date and the person.
  • Personal information: the archive holds personal information about the co-owners and other people. Keep it in a secure place. If it is downloaded or kept outside Québec, the syndicate must first assess the privacy factors (Act respecting the protection of personal information in the private sector, s. 17).

3. Where your backups are

Independently of the archive you download, your data is backed up, encrypted, in Québec (details on the Security and hosting page):

  • Supabase backups: point-in-time recovery over 7 days and daily snapshots.
  • Montreal: database backups every 4 hours and files daily, kept 30 days.
  • Beauharnois: a daily mirror copy at a second Québec provider.
  • Verified restores: before each production release, the new version is checked against a restore of a recent database backup.

4. A company founded by one person

CondoAide is operated by Solutions Nicvi inc., a company founded and run by one person. We say so because it is precisely the reason for this page: the commitments above are written into our Terms, the archive downloads without asking us for anything, and your data does not depend on one person’s availability.

5. Questions
